Pilates Booking Software: How to Choose the Right System for Your Studio

Short answer: pick Pilates booking software by testing four things, in this order. First, can it handle equipment-level capacity and waitlists (one reformer, one client) without manual fixes? Second, what is the all-in monthly cost: subscription plus card processing plus any platform or marketplace fees? Third, what are the contract, renewal and cancellation terms? Fourth, does it publish pricing for your country (US, Canada or Australia)? Many of the big names don't publish full prices. Momence and Mariana Tek publish none, and Mindbody publishes only an entry price in the US. So get every quote in writing and compare like for like.

Disclosure. This site is run by Johnny Ni, who also runs hesurepilates.com, a Pilates reformer export business that works with studios in the United States, Canada, and Australia. Some links on this site are affiliate or referral links. If your studio signs up or requests a quote through them, we may earn a commission, and some of those programs only pay if the studio signs a contract. Commissions don't change the facts on this page. We don't rank vendors, and every figure comes from a public page we link to. Mindbody doesn't pay us.

What to check before you book a demo

  1. Reformer and equipment capacity. Pilates classes are capped by machines, not by floor space. Ask the vendor to show you, live, what happens when a class-pack client cancels and a waitlisted client is promoted into a specific reformer. One commenter in a Reddit thread for Pilates instructors wrote that "Reformer capacity limits breaking was actually the thing that pushed us off Momence too, because once you have a waitlist plus a class pack member trying to rebook it just falls apart manually" (r/pilatesinstructors). That is one person's report, not a test result, but it is exactly the scenario to demo.
  2. The true monthly cost. Card processing often costs more than the subscription. Some platforms charge you a percentage on top of the card fee. Arketa's Individual plan, for example, lists a 3% transaction fee on top of Stripe fees (Arketa pricing). Others add fees for clients who find you through their marketplace app. Mindbody charges 20%, capped at $30, on a new client's first purchase through the Mindbody app (Mindbody pricing).
  3. Contract and cancellation. Some vendors publish month-to-month terms. Others publish nothing. "Hard to cancel" is one of the most repeated complaints in the owner reviews we logged (see What owners report).
  4. Your country. Several vendors only show US prices. TeamUp publishes separate US, Canadian and Australian prices, and Mindbody publishes Australian plan prices and Canadian card rates. For most others, CA and AU pricing is not published.
  5. Data export and migration. Ask in writing what it costs to bring your client data in, and to take it out if you leave. Mindbody's pricing page says data transfer "fees may apply" (Mindbody pricing). WellnessLiving advertises free setup and data migration (WellnessLiving pricing).

Calculate it: our Pilates studio software cost calculator adds subscription, processing and platform fees together using only published prices.

The main options, briefly

Momence. Momence's site markets the product to Pilates, yoga, dance, indoor cycling, gym and boutique studios, and offers a free trial. It no longer shows prices: the pricing page asks you to "tell us about yours" for a custom quote (Momence pricing). Payments run through Stripe (help center). The site footer reads "© 2026 Xplor Momence". → Momence vs Mindbody · Momence review & pricing (coming soon) · Get a Momence quote

Mindbody. Plans are priced per location with unlimited users. The US entry plan starts at $79 USD/month, and every plan button says "Let's talk" (Mindbody pricing). It includes a listing in the Mindbody consumer app, which carries the 20% (cap $30) first-purchase fee for new clients. → Mindbody pricing & alternatives (coming soon)

Arketa. Arketa publishes one solo plan price ($49/month billed annually, one team member). Studio Core, Growth and Suite are quote-only. All plans are month to month unless annual (Arketa pricing). → Arketa

WellnessLiving. WellnessLiving publishes US plan prices and gateway fees, but not its card percentage. The Starter plan includes one staff member, and Business adds unlimited staff (WellnessLiving pricing). We didn't see Canadian or Australian price variants. → WellnessLiving

Mariana Tek. Mariana Tek includes branded iOS/Android apps from its Core plan up. Prices are demo-only, and it says it adds nothing on top of Stripe's fees (Mariana Tek pricing). Its pricing page is branded "Xplor Mariana Tek". → Mariana Tek

Zen Planner. Pricing is by active members, with published add-ons: Website $99, Branded app $39 and Engage $249 per month (Zen Planner pricing). Payment processing is custom-priced. → Zen Planner

TeamUp. There's one plan priced by active customers, with all core features and unlimited locations. You use your own Stripe or GoCardless account (TeamUp pricing). It's the only vendor here with published US, CA and AU prices for every tier.

Walla. Walla's Core plan is priced per location with unlimited users. Its pricing page says it "never adds booking or convenience fees of its own". Studios can optionally pass a 3.9% "Walla Offset" fee to clients (Walla pricing).

Glofox. Glofox publishes only a "starting at $99 per month" floor. Plans run Essential, Boost, Elite and Enterprise, and each needs a quote (Glofox pricing, plans).

What studio owners report

These are individual owner comments we collected from public reviews and forums on November 1, 2026. They're anecdotes, not a survey, and every major platform draws complaints. Treat them as questions to raise in a demo.

FAQ

What is the best booking software for a Pilates studio?

There isn't one answer that fits every studio, and we don't rank vendors. Make a shortlist of two or three. Test reformer-level capacity and waitlist promotion in a live demo. Then compare written quotes on subscription, card processing, platform fees, and contract and cancellation terms.

How much does Pilates studio booking software cost?

Published entry prices on November 2, 2026 included Vagaro at $30/month for one bookable calendar, Punchpass from $59/month, WellnessLiving Starter at $69/month, Mindbody from $79 USD/month per location, Zen Planner Studio from $99/month and TeamUp from $119/month. Card processing comes on top. Momence, Mariana Tek and bsport publish no prices, and Glofox publishes only a "starting at $99 per month" floor.

Does Momence publish its prices?

No. As of November 2, 2026, Momence's pricing page says "Let's talk pricing" and offers a custom quote. Older plan prices seen in archived copies of the page are no longer current.

Which Pilates software publishes prices for Canada and Australia?

TeamUp publishes full price tiers in Canadian and Australian dollars. Mindbody publishes Australian plan prices (Go A$89, Core A$279, Growth A$369 per location per month) and Canadian card processing rates. OfferingTree publishes Canadian and Australian card rates. Most other vendors show US prices only or no prices.

Does the Mindbody app charge studios a fee?

Yes. Mindbody charges 20%, capped at $30 (or 30 in local currency), on the first purchase by a client who is new to your business and came through the Mindbody app. Mindbody says repeat bookings after that first purchase are commission-free.

Can I cancel Pilates studio software anytime?

It depends on the vendor. TeamUp, Punchpass and Zen Planner publish month-to-month terms, and Arketa is month to month unless you choose annual. Mindbody says terms depend on your plan and billing agreement. Momence, Glofox and Mariana Tek publish no contract terms, so ask for them in writing before you sign.
